Accessing our website

The Lenches Amphitheatre website is operated by The Lenches Sports and Recreation Club (LSRC) Company Number 03412490. By using our website, you acknowledge that any use of our website is subject to this Privacy Policy together with any Terms and Conditions.

Our site is free of charge but we cannot guarantee that our site will always be available.

We try to ensure the content on our site is up to date and accurate but appreciate errors and omissions may occur from time to time.

We cannot guarantee that our site will be free from viruses, therefore you should ensure you have your own virus protection software.

What personal data we hold

The type of personal data that LSRC may hold is:
• Contact Details, including name, address, phone number and email address
• IP addresses, browser type and version, device type and the pages of our website you have visited.
• If you use your credit or debit card to purchase tickets from us, or to make a donation, our box office and payment systems ensures that this is carried out securely and in accordance with the Payment Card Industry Data Security Standard (PCI-DSS). We process all payments through secure 3rd Party server software (SSL) which ensures that your personal information is encrypted whilst it travels through the internet. Our 3rd Party payment system encrypts and stores your card details in compliance with PCI-DSS when you make a transaction. We are only able to use these details to refund any payments and we cannot take any future payments. We don’t store your 3 or 4 digit security code and none of our Directors or Volunteers can see your full card number.

Data Protection law recognises that certain categories of personal information are more sensitive, such as health information, race, religious beliefs and political opinions. We do not collect this type of information.

Children’s Privacy

We do not knowingly sell tickets to children. All children’s tickets must be purchased with an accompanying Adult ticket. We do not knowingly collect personally identifiable information from anyone under the age of 13. If You are a parent or guardian and you are aware that your child has provided us with personal data, please contact us. If we become aware that we have collected personal data from anyone under the age of 13 without verification of parental consent, we will take steps to remove that information from the systems.

How we use your Personal Information and how do we store it and keep it safe

When you use our website to purchase tickets, products, membership, vouchers or make a donation you will be asked to provide certain information, such as your name and contact details.
We may store this data on the systems specified below and in accordance with this policy.

We will use this data to fulfil your order(s) with us to;
• Process your ticket order and email you your e-tickets
• Process your order of refreshments and email your e-tickets
• Process your order of any items from our Store and email your order confirmation or vouchers
• Process your donation
• Obtain information on your need for Accessible Parking
• Obtain your feedback on the service you have received from us
• Update you about any changes or relevant information relating to the performance or products you have purchased.
• Provide you with relevant information about upcoming shows, news, services, products or fund raising events. This is only if you have opted in to hear more from us.

All this information is held on either all or some of the following systems:
• 3rd party Box Office Provider Ticket Tailor, stored on a password-protected external server
• Marketing platform, Mailchimp and Survey Monkey, stored on a password-protected external server
• Cloud File Storage System > Dropbox, stored on a password-protected external server
• Financial Accounting Software > Sage, stored on a password-protected external server
• Email Server, stored on a password-protected external server
• WordPress – media file storage
We also store information when you enquire about hiring or performing at The Lenches Amphitheatre.

LSRC does not process personal data for any other purpose than to deliver the performance tickets/products which you have purchased.

LSRC will never sell, rent, lease or give away your information (name, address, email, etc.) to any third party.

We may disclose any information and data relating to you to the police or any regulatory or government authority in response to a request in connection with the investigation of any suspected illegal activities. We may also disclose data to anyone to whom we transfer our rights and duties under our agreement with you.

We also hold personal information about our donors on our internal Cloud File Storage and financial systems. This information is held in password protected files and only the appropriate members of staff can access them.

How long do LSRC keep your personal data?

LSRC will keep and process your personal data for as long as necessary to deliver services and comply with our legal obligations, such as tax and accounting requirements. When LSRC no longer needs personal data, it will dispose of it in line with approved company processes. These will ensure all reasonable efforts and precautions are taken to protect the confidentiality of the data.

You have the right to see personal data (as defined in the General Data Protection Regulations) that we keep about you. If you would like to access this information, send us a written request to the Data Controller at LSRC. In addition, if you are concerned that any of the information, we hold about you is incorrect, or wish to be removed from our mailing list, please contact us using the details at the end of this privacy notice.

When you visit our website, we may collect information about how you interact with our content. We sometimes keep a record of communications we have sent you and, in the case of emails, we keep a record of which ones you have opened, and which links you have clicked on.

We may from time to time use available demographic information to determine who we target for specific events or marketing campaigns to avoid contacting individuals unnecessarily

Photography

We occasionally take photographs and videos of performances, audiences, and participants for marketing or reporting purposes. These may be displayed on our website and social media platforms.
When we plan to take photographs of audiences, we make them aware by displaying visible notices. If an individual does not wish to be photographed or filmed, they are encouraged to tell the photographer/videographer or a member of staff.
We will not take pictures of children or vulnerable adults.
We aim to upload these images to our secure file storage/and or media file system and delete them off the camera or mobile device used within three working days.

Changes to our policy

We reserve the right to make changes to the Privacy Policy at any time, so please check it periodically.
